Estimate and Quote Review Settings

Estimate threshold days: Enter the number of days an estimate can remain unreviewed before the system automatically rejects it and updates the work order status to Service Complete.

This only applies to first level estimate approvals.

Quote threshold days: Enter the number of days a submitted quote remains valid for review.

Response requested in (days): Enter the number of days that a response is expected after submission.

Entry of start and complete date: Select when the start and complete dates must be entered for a quote:

• Use standard work order SLA for approved quote: Dates follow the standard SLA after approval.

• When approving a quote: Dates must be entered at the time of approval.

• When creating a quote: Dates must be entered at the time of creation.

Required quote start date: Makes the Quote Start Date mandatory.

Required quote complete date: Makes the Quote Complete Date mandatory.

Require quote accept/decline: Ensures all quotes are explicitly accepted or declined.

Allow internal provider quote: Enables internal providers to submit quotes.

Uses NTE: Applies Not to Exceed (NTE) amounts to quotes and estimates.

Use excluded charges in quotes: Allows excluded charges to be included in quotes.

Use quote itemization: Enables quotes to be broken down by line items.

Use estimate itemization: Enables estimates to be broken down by line items.

Allow custom rates: Enables the use of custom rates in quotes and estimates, allowing providers to apply predefined contract rates.

Allow quote linking: Enables linking related quotes.

Minimum providers required for quote: Specifies the minimum number of providers required for a quote.

Block and decline expired quotes: Automatically blocks and declines quotes that exceed their threshold.

Block approvals until all responded: Requires all reviewers to respond before approval can proceed.

1st level quote approval threshold: Defines the minimum quote or estimate amount that requires first-level approval, for both:

• Single Vendor

• Multiple Vendors

1st level quote approval acknowledgment over threshold text: Displays a message to first-level reviewers when their approval is required.

Approval settings can be configured for up to seven levels, with increasing approval thresholds.
